How Knightsoft Media Ltd looks after personal information you send us through this website, by email or by phone.

Who we are

What we collect

Only what you choose to send us through our forms, by email or by phone: usually your name, your business, your email address and phone number, your postcode if you ask for an in-person demo, and your message. We don't ask for sensitive information, so please don't include any.

To protect our forms from spam, our web host briefly keeps a one-way scrambled (hashed) version of the IP address a form was sent from, so it can limit how many messages come from one place. It can't be turned back into your IP address, and it's deleted automatically within an hour.

Why we use it, and our lawful basis

  • To answer your enquiry and prepare a quote: because you asked us to, as steps before a contract.
  • To supply and support what you buy: to perform our contract with you.
  • To keep business and tax records: because the law requires it.
  • To tell existing business customers about similar products and services: our legitimate interests. We only send this kind of message to business contacts, and every message tells you how to opt out. You can opt out at any time by replying or emailing info@knightsoftmedia.co.uk.

How long we keep it

  • Enquiries that don't go further: up to 2 years from our last contact, then deleted.
  • Customers: for as long as we look after your screens, then for 6 years after the end of the financial year they relate to, because tax and company law require us to keep business records.
  • Form spam protection: the hashed IP address is deleted automatically within an hour.

Who we share it with

We never sell your data or pass it to anyone for their own marketing. We use a small number of trusted service providers who handle it for us, under contract and only on our instructions:

  • Google (Google Workspace): our email. Messages sent through our website forms are delivered to our Google mailbox.
  • Cloudflare: hosts this website and runs our form handler.
  • Sage: our accounts, quotes and invoices, for customers.
  • Stripe: only if you choose to pay us online. Card details go straight to Stripe and never reach us.

Some of these providers may process data outside the UK. Where they do, they use the safeguards UK law requires, such as the UK International Data Transfer Agreement or the UK–US data bridge. We'll also share information if the law requires it.

Cookies and tracking

This website sets no cookies and uses no analytics or advertising trackers. If that changes, we'll ask for your consent first.

Your rights

You can ask to see, correct or delete the personal information we hold, ask us to restrict or stop using it, object to how we use it, or ask us to stop marketing to you. Contact us using the details above and we'll reply within one month.

Complaints

If you're unhappy with how we've handled your information, please tell us first. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
